Executive Assistant
Paragon FMS is searching for a Executive Assistant who can assist the CEO and help improve productivity. The Personal Assistant will be responsible for running business errands, maintaining ongoing business files, and organizing day-to-day schedule and tasks of the CEO. The ideal candidate for this position is a self-starter who can work well in a fast-paced environment.
Position Responsibilities:
• Acting as a first point of contact: dealing with correspondence and phone calls
• Managing work and family diaries/schedules
• Organizing meetings and appointments, often controlling access to the CEO
• Book and arrange travel and accommodation for both private and work trips
• Organize events
• Remind the CEO of important tasks, deadlines and events both at work and at home
• Typing, compiling and preparing reports, presentations and correspondence
• Managing databases and filing systems
• Liaising with staff and clients as well as family members
• Collating and filing expenses
• Accompanying the CEO on work and family trips (where necessary)
• Book family holidays, restaurant or social activities
• Personal shopping on behalf of the CEO

• You must be a great organizer who can be flexible and adapt with the role
• Possess excellent administration and communication skills
• Enjoy project and event management
• Ability to multitask and prioritize daily work loads
• Discretion and confidentiality
• Love being at the heart of a business and helping someone to be organized to free up their time
• On top of your game in terms of scheduling, screening calls and overseeing emails/diaries
• Be prepared to work out of office hours
• Valid driver's license with clean driving record
• High school diploma/GED required (Associate degree preferred)
• PA diploma or certification would be considered an advantage
• Must have a driver's license
