Our Private Practice office is looking to hire an Office Manager/ Receptionist to handle client-facing duties as well as general office management tasks. When our clients walk into our office, we want them to find a friendly, smiling face and a helping hand. The ideal candidate has excellent communication and multitasking skills, a positive attitude and a strong work ethic. Qualified candidates will have experience in the primary care environment, managed more than 5 clinicians

Manager’s skill, Clinical knowledge preferred, team player, and communication skills.


  • Minimum 3-5 years experience as medical manager in a Private Practice Setting.
  • Associate degree preferred
  • Computer experience required


  • Answering phone and taking client information 
  • Manage schedules of clinicians and oversee clients appointments
  • Take insurance information from clients and make verification
  • Follow up with insurance companies to get old claims closed
  • Coordinate with staff for office supplies as they run low
  • Train and rotate office staff to ensure cross coverage
  • Provide client with billing information in case of invalid insurance
  • Collect Co-pays from Clients 
  • Assess staff performance and ensure that performances are constantly meeting expectations and standards
  • Ensure a safe environment for employees and clients alike
  • Make sure that the office is clean and sanitized at all times
  • Onboard new clinicians/staff to work in a medical environment
  • Handle conflicts and clients concerns in a diplomatic manner

Job Type: Part Time


  • 6 hour shift
  • Monday to Friday


  • High school or equivalent (Required)


  • Management Experience: 2 years (Required)
  • Customer service: 2 years (Preferred)


  • Spanish (Preferred)

  • Greet clients as soon as they arrive and connect them with the appropriate party
  • Answer the phone in a timely manner and direct calls to the correct offices
  • Create and manage both digital and hard copy filing systems for all partners
  • Make travel arrangements and schedule meetings based on all partners’ itineraries
